Mediterráneo Servicios de Gestión Integral, S.A.U. is part of a corporate group composed of various companies engaged in property management activities and complementary services.

This Privacy Policy applies exclusively to personal data processing carried out by Mediterráneo Servicios de Gestión Integral, S.A.U., acting as data controller within its own scope.

Each company within the group acts as an independent controller in respect of the personal data processing it performs if consent is granted for the sending of commercial information from the other entities. COMMUNITIES / COMMUNITY MEMBERS

What personal data do we process?

We process identification, contact and financial data of property owners and community members of the homeowners' associations managed by the Controller, as well as, where applicable, legal representatives, authorised persons and other rights holders associated with the communities, as necessary for their administrative, financial and legal management.

For what purposes do we process your personal data?

  • Administrative, accounting and financial management of homeowners' associations.
  • Convening, managing and documenting owners' meetings.
  • Management of community fees, extraordinary levies, payments and collections.
  • Management of incidents, maintenance, repairs and contracted services.
  • Compliance with legal obligations under Horizontal Property Law.
  • Operational and informational communications related to community management.

What is the legal basis?

Processing is necessary for the performance of the contractual relationship between the homeowners' association and the Controller, as well as for compliance with legal obligations, with MSGI acting as data processor on behalf of the association.

Data retention

Data will be retained for the duration of the management relationship and subsequently blocked for the legally required limitation periods.

SUPPLIERS (general administrative and contractual management)

For what purposes will we process your personal data?

  • Information by electronic means relating to your request.
  • Commercial or event-related information by electronic means, provided that express authorisation exists.
  • To manage the administrative, communications and logistics services carried out by the Controller.
  • Invoicing.
  • To carry out the corresponding transactions.
  • Invoicing and declaration of the relevant taxes.

The legal basis is the acceptance of a contractual relationship, or failing that, your consent when contacting us or offering us your products by any means.

For the duration of the relationship between the parties and for the statutory limitation periods derived therefrom.

PORTAL SUPPLIERS / COLLABORATORS

What personal data do we process?

We will process identification and professional contact data of suppliers and collaborators, as well as of natural persons acting on their behalf, who register in the Controller's Supplier Portal, for the purpose of managing their registration, access and participation as service providers for the homeowners' associations managed by MSGI.

For what purposes will we process your personal data?

  • Registration, validation and management of supplier and collaborator onboarding within the Portal.
  • Management of access, credentials and authentication of Portal users.
  • Management and maintenance of a pool of suppliers and collaborators for the provision of services to the communities managed by MSGI.
  • Consultation and management of professional, contractual and administrative information associated with the collaboration relationship.
  • Operational and functional communications related to the use of the Portal, the coordination of services and the professional relationship with the Controller and the managed communities.

What is the legal basis for processing your data?

The existence of a contractual or pre-contractual relationship between the parties, as well as the Controller's legitimate interest in the management, organisation and security of the Supplier Portal and in the proper provision of services to the managed communities.

How long will we retain personal data?

Data will be retained for as long as the supplier or collaborator remains registered in the Portal and while a professional relationship exists with the Controller and, once terminated, duly blocked during the applicable statutory limitation periods.

MARKETING (suppliers and collaborators)

What personal data do we process?

We will process identification and professional contact data of suppliers and collaborators registered in the Portal, as well as, where applicable, the communication preferences provided, for the purpose of sending them commercial information regarding services of the Controller's group of companies.

For what purposes will we process your personal data?

  • Sending informative and commercial communications related to services of the Controller's group of companies, such as insurance, energy advisory services, real estate services, legal services or other related professional services.
  • Sending information regarding updates, events, training or commercial communications related to such services.

What is the legal basis for processing your data?

The express consent granted by the data subject by ticking the corresponding checkbox enabled for this purpose, which may be withdrawn at any time without affecting the existing professional or contractual relationship.

How long will we retain personal data?

Data will be retained until the data subject withdraws the consent granted for the sending of commercial communications and, once withdrawn, duly blocked during the legally established periods.

WEBSITE OR EMAIL CONTACTS

What data do we collect through the Website?

We may process your IP address, operating system or browser used, and even the duration of your visit, anonymously.

If you provide data through the contact form, you will be identified so that we can contact you where necessary.

The legal bases legitimising the processing are the voluntary consent of the data subject in contacting us and, where applicable, the acceptance of a contractual relationship within the relevant social media environment. The processing of data within the Social Network will be carried out in accordance with its Privacy Policies.

We can only access or remove your data in a restricted manner by having a specific profile. We will process them for as long as you allow us by following us, being connected with us, or clicking "like", "follow" or similar buttons.

Any rectification of your data or restriction of information or publications must be carried out through the configuration of your profile or user account within the social network itself.

JOB APPLICANTS

For what purposes will we process your personal data?

  • Organisation of recruitment processes for the hiring of employees.
  • To invite you to job interviews and evaluate your application.
  • If you have given us your consent, we may transfer it to collaborating or affiliated companies for the sole purpose of helping you find employment.
  • If you tick the privacy policy acceptance checkbox, you give us your consent to transfer your job application to the entities forming part of the group of companies in order to include you in their recruitment processes.

Likewise, we inform you that one year after receipt of your curriculum vitae, we will proceed with its secure destruction.

Do we include personal data of third parties?

No. As a general rule, we only process the data provided to us by the data subjects. If you provide us with third-party data, you must, beforehand, inform such persons and obtain their consent; otherwise, you hold us harmless from any liability arising from non-compliance with this requirement.

And data of minors?

We do not process data of minors under 14 years of age. Therefore, please refrain from providing such data if you are not of that age, or, where applicable, from providing data of third parties who are under that age. You can rest assured: we have adopted an optimal level of protection for the Personal Data we handle, and we have implemented all technical means and measures available to us in accordance with the state of the art in order to prevent loss, misuse, alteration, unauthorised access and theft of Personal Data.

To which recipients will your data be disclosed?

Your data will not be disclosed to third parties, except where required by law. In particular, they will be disclosed to the Spanish State Tax Administration Agency and to banks and financial institutions for the collection of the service provided or product purchased, as well as to the data processors necessary for the performance of the agreement.

In the event of a purchase or payment, if you choose any application, website, platform, bank card, or any other online service, your data will be disclosed to such platform or processed within its environment, always with maximum security.

Upon our instruction, the web development and maintenance company and the web hosting provider will have access to our website. They will have executed a service provision agreement obliging them to maintain the same level of privacy as we do.

What rights do you have?

  • To request the erasure of your data if they are no longer necessary for the purposes for which they were collected or if you withdraw the consent granted.

  • We have forms for the exercise of your rights; please request them by email or, if you prefer, you may use those prepared by the Spanish Data Protection Agency or third parties.
  • These forms must be electronically signed or accompanied by a photocopy of your national identity document (DNI).
  • If you are represented by someone else, you must attach a copy of their DNI, or have them sign the request with their electronic signature.
  • The forms may be submitted in person, sent by post, or sent by email to the Controller's address indicated at the beginning of this text.

How long do we take to respond to the exercise of rights?

It depends on the right, but in any case no later than one month from your request, and two months if the matter is very complex and we notify you that we need more time.

How long will we retain your personal data?

  • Personal data will be retained while you remain linked to us.
  • Once you are no longer linked to us, the personal data processed for each purpose will be retained for the legally established periods, including the period during which a judge or court may require them, in accordance with the statutory limitation periods for legal actions.
  • The processed data will be retained until the aforementioned legal periods expire, where there is a legal obligation to retain them; or, where there is no such legal period, until the data subject requests their erasure or withdraws the consent granted.
